3. Personalize the first line. Just one detail — something they said, something you noticed, something relevant to them. It's the difference between a template and a message.

4. Send it when you said you would. The content matters less than the timing. If you said you'd follow up Thursday, follow up Thursday.


Template 1: After the First Call

Use this within 24 hours of an initial conversation.

Subject: Quick follow-up from our call

Hi [Name],

Good talking with you earlier. You mentioned [specific thing they said] — wanted to send over [resource/next step] while it's fresh.

Does [specific time] work for a follow-up call, or is there a better time this week?

Why it works: You're showing you listened, you're offering value, and you're making it easy to say yes with a specific time.


Template 2: After Sending a Proposal

Use this 2–3 days after sending a quote or proposal.

Subject: Re: [Proposal/Quote name]

Hi [Name],

Just checking in on the proposal I sent over. Happy to answer any questions or adjust anything based on what you're seeing.

What's your thinking so far?

[Your name]

Why it works: Open-ended last question invites a response without pressure. "What's your thinking" is less threatening than "Are you ready to move forward?"


Template 3: The Gentle Bump (No Response)

Use this when you've sent 1–2 emails and heard nothing.

Subject: Still worth connecting?

Hi [Name],

I've reached out a couple times — I know things get busy. Still happy to help with [specific problem].

If the timing isn't right, just let me know and I'll follow up later. If it is, here's my calendar: [link]

Either way, no pressure.

Why it works: Acknowledges the silence without guilt-tripping. Giving them permission to say "not now" often gets a response when nothing else does.


Template 4: The Long Re-Engagement (Gone Quiet for 4+ Weeks)

Use this when a warm lead has gone cold.

It's been a while — hope things are going well.

We spoke back in [month] about [what you discussed]. Wanted to check in and see if anything's changed on your end.

Why it works: No apology for the gap, no long recap. Just a simple re-opener that reminds them who you are and makes it easy to pick up where you left off.


Template 5: After a "Not Right Now"

Use this 4–6 weeks after someone said "check back later."

Subject: Checking back in — [their name]

Hi [Name],

You mentioned [month] would be a better time to revisit. Wanted to make sure I reached out.

Has anything changed? Happy to pick up the conversation if the timing works now.

Why it works: You're doing exactly what you said you'd do — following up when they asked. This one often closes deals that were written off.
